When a member of staff leaves

Mail Maintenance only displays a mailbox for staff it considers active. It checks both the inactive flag and the Valid From and To dates to determine if the staff member is active. A member of staff is considered inactive:

  • If the staff member has either the inactive flag selected (in File Maintenance - Staff)
  • Or their Valid To date is in the past (in File Maintenance - Staff).

This allows you to enter a future Valid To date for a member of staff who will be leaving and when that date is reached they automatically are classed as inactive without having to select the inactive flag. However, where the staff member has already left it may be easier to set the inactive flag.
