Practice Checklist

Before Flu Season

  • Low cost pre flu season campaign, for example, waiting room posters, Facebook, Twitter, email
  • Ensure all practice staff are aware of the importance of the flu vaccination programme
  • Order stock of the correct vaccine for the eligible groups
  • Check you have enough Labcold fridges for vaccine storage
  • Check patient details are up-to-date before and during flu season

Updating Communication to Patients

Plan Flu Clinics

  • Where? In surgery or at drive through clinics
  • What happens when patients arrive at the flu clinic
  • Are you running walk in or booked appointment slots?
  • Decide on a cut off time for walk ins
  • How long is each appointment?
  • Complete your COVID risk assessments for the clinic
  • COVID awareness for patients, do not attend if patient or a close contact has symptoms.
  • Barcoded invite letters for multiple practice clinics
  • Keep parking free for elderly, frail or disabled patients
  • Assess patient flow and waiting area post vaccination
  • Notify patients of changes to the normal procedure

Patients

  • Identify eligible patients – Vision+ Reports or Clinical Audit.
  • Call and recall eligible patients – Prioritise patients depending on risk category
  • Call and recall eligible patients – Text or Letter
  • Utilise Vision+ Alert Window or Clinical Audit Reminders to catch patients on an ad hoc basis
  • Formulate a plan for housebound patients unable to attend a flu clinic
  • Liaise with maternity services to ensure patient lists are up-to-date

Flu Clinics

  • At check in, remind patients of COVID requirements, for example, to remove coats, roll up their sleeves
  • Multiple vaccinations at the same time – Separate clinic days or staff to provide these vaccinations
  • Decide who and how data is to be collated at time of vaccination
  • Decide who and how data is to be entered onto patient record
