Create new household

Use Create New Household if you want to split into two households a family which are currently in the same household at the same address, or split one patient off from the household to a new family or address.

  1. From the Registration - Family Details screen, first highlight a patient.
  2. Click on Create New Family.

    The "moved" patient – your currently selected patient on the title bar - now has a new household with a new family number.

  3. Click on the Address tab. Click on the Edit button to change the address details. On the Address Entry screen use either the mouse or the <TAB> key to move from one field to the other.
  4. When the address change is complete, click on OK or press the <TAB> key until the OK button is highlighted and press <Enter>.

    A reminder is given if details are incomplete.

  5. Enter any free text notes to accompany an Amendment Transaction for Registration Links practices.
  6. Click OK.

Move to another family

You may want to move a patient or patients from one household to another, for example, if two newly-weds were moving out of the family home into their own home.

  1. From the Registration - Family Details screen, first click to highlight the patient(s) to be moved.
  2. Select Move to another family.

  3. First, choose the family to whom the patient is transferring - select Choose to display the Select a Patient screen (see Select a patient).
  4. You need to choose:
    • whether the patient(s) is moving into the new household, and adopting the features of that household - address, phone, dispensing status, rural mileage. Select Move to new household.
    • or whether they should retain the details of their previous household, and maintain a family link. Select Preserve existing household.
  5. Click on OK to process the move. A message will be displayed when this is complete : Moving to Another Family – Complete. OK.

Amend Household

If one member in a household has details amended for address, phone number, rural mileage, dispensing, and capitation, using Amend Household you can automatically update details of the other patients within the same household to match these, without having to type each in.

It is important to note that for telephone numbers, only that attached to the main address will transfer with all family members. This is if a communication number (telephone number) is added in Registration underneath the Main Address Details on the Personal tab or under Addresses on the Address tab. This is attached to theAddress not the patient so Amend Household will apply to all family members. Personal numbers such as email, mobiles etc added in Contact for Patients on Registration – Address will not be affected and will remain attached to each patient's record.

  1. Select a member of the family who is moving.
  2. On the Personal tab, click on Edit under Main Address Details and amend their address.
  3. If the home telephone number has changed as well, click on the phone number by Home under contact Numbers on the right-hand pane.
  4. Select Edit under Add Contact Number.
  5. On the Communication Numbers - Update screen, make the amendment.
  6. Click OK.
  7. Click OK from Address entry - Update.
  8. Select the Registration - Family Details screen of the patient. The selected patient is marked in the left margin =>.

  9. Then highlight all (or a selection) of the other patients within the household by clicking on that line.
  10. Click on Amend Household.

    This displays a message explaining that this function will amend the household details of the selected patients to match those of the patient you selected. The details that will be amended are: Registered address and any phone numbers associated with this address, dispensing status, capitation supplement, walking units, blocked/special route marker, rural mileage, DHA and HA.

  11. Click on OK to start the amendment (or Cancel to abandon). This will change the address for all highlighted family members to the address of the person whose name displays at the top of the screen. Other details such as the rural mileage and dispensing status and also changed. Note that any "frozen" patients are skipped and ignored.
