Print the Validation Report

  1. Select Validation then Registration Validation Exception Report.

  2. Validate Postcode is optional but the box can be checked. If it is selected, the postcode will be validated as well and any errors reported. If you are fairly confident your postcodes are mainly correct, make sure this option is selected so the postcodes can be validated.

    If, on the other hand, it is likely that there is consistent error amongst many patients, eg using a capital O instead of a zero throughout, then you might prefer not to validate the postcode in the first instance so that the Validation Report list is kept short and you can concentrate on correcting other details. Postcode errors will eventually need to be corrected before going to Registration Links, so you will need at some time to run the Validation Report with Validate Postcode selected.

  3. Click on OK.
  4. Select Window at the Output Type.

  5. The report is listed on-screen, with one line per patient whose details need correcting. Click on the Print icon to get a printed copy.

There are six columns:

  • Patient – This column is the patient registration number carried over from VAMP Medical. This is the way to select patients when correcting addresses.
  • Surname
  • Forename
  • Date of Birth
  • Field – This column is the entry that needs correcting. If Invalid data is the error, for example, NHS No. in Field, and Duplicate xxxxxx in Invalid Data implies a duplicate NHS No. which needs amending. For example,
  • Invalid data message
  • NHS No. Duplicate xxxxxx
  • A duplicate NHS No. - xxxxxx represents the NHS number which needs correcting. Check with the HA or re-check on the Lloyd-George envelope.
  • Town Field is mandatory
  • The Town entry is missing. This must be entered on all addresses.
  1. Correct each error on the validation report. Patient addresses are corrected in Address Maintenance (see "Address Maintenance" on page ). Amendments for patient names, rural mileages and NHS Numbers are corrected in Registration.
  2. Re-run the report as many times as you like until it is error free. Remember to include at least one run with the Validate Postcode switched on to ensure all the postcodes are in the correct format.
