Correct Counties

The standard way the county is entered in addresses is determined by your local HA, and you should consult with them for the spelling and format. This is then the Default County.

You may find you want to run Correct Counties several times using different criteria.

  1. Select Correct Counties from Validation.

  2. The Correct Counties option has several global corrections.
    • If patients' addresses display a variety of spellings of the county, you can list these in County Pseudonyms, and each can be substituted by the Default County.
    • For example, if West Midlands is the Default County, other pseudonyms might be West Mids, West Mids., W Midlands and so on.
    • The HA may require the Default County to be blank, for example where there is a metropolis in Town, and County is left blank.
    • There may be addresses with no county at all. The Default County can be added to these.
    • Where the Town by mistake appears in Counties, this can be entered as a County Pseudonym, and be replaced by the Default County.
  3. Default County - This is the way the HA want the county entered, eg LANCASHIRE. It may be blank if that is how the HA want it.
  4. The choice is then one of three:
    • Either blank out county (matching text above, eg LANCASHIRE) on all addresses that have this county (ie, if HA do not want county text to appear);
    • Or add this default county (matching text above, eg LANCASHIRE) to all addresses with no county;
    • Or do not choose either of the above. If you have entered pseudonyms below (see step 5), then the pseudonym, eg Lancs, with the Default County, eg Lancashire.
  5. County Pseudonyms - Enter the pseudonyms, usually alternative spellings for a county, eg LANCS, LANCS., or it might be a town name which by mistake is in County.
  6. Type in each pseudonym in the window Enter a list of counties that will be replaced with the above default county. Then click on Add. (You can highlight a pseudonym and click on Remove to delete one).
  7. Click OK to process.
