Actions when Registering a New Patient

These are the stages in the GP2GP process which require your action when you are registering a new patient:

  1. Use your Smartcard to log into Vision.

    Note - The following warning message appears if you access the Registration module without using your Smartcard: "A smart card has not been detected. Do you wish to continue with Registration? If you want to use your smart card for a GP2GP transfer, you will need to log out of Vision and log in again with your smart card."

  2. From Registration , select Patient Select .
  3. In Search Details enter the patient date of birth and in Search Attribute select Date of Birth.
  4. Remove the tick in Active Patients only.
  5. Select Find .
  6. If the patient you are registering is displayed, they have been registered before and their current Registration status must be checked. If the patient has a Registration status of:
    • Transferred out - You can re-register in the usual way using Action - Re-registration, no GP2GP message is triggered.
    • Anything else (Contraception only, Temporary Resident, Immediately Necessary etc) - You must check their record in Registration, select Action – Audit Trail.

    If they have previously been a permanent patient, use Security - Deduct Patient and then once they are showing as Transferred out, you can re-register them in the usual way from Action - Re-registration and no GP2GP message is triggered.

    If they have never been a permanent patient, you can re-register them in the usual way from Action - Re-registration and a GP2GP message is triggered.

  7. If the message A patient could not be found is displayed, select OK.
  8. You can now assume the patient is not already on your register and can go ahead and add them.
  9. Select New Patient and then select the patient required from the PDS.
  10. The GP2GP request message is triggered following a successful PDS update and if the patient is not a flagged patient (stop noted) or a sensitive patient. The GP2GP request is made to the patient's previous practice for the notes to be sent (as long as the practice is GP2GP enabled).
  11. The previous practice send the notes automatically as an XML message into Mail Manager. Messages show the progress of the request.
  12. From Mail Manager , right click on the Record Transfer message which shows Available for Filing, and select File All. This files the records into Consultation Manager.
  13. The records must now be reviewed in Consultation Manager, re-entering allergies, re-authorising repeat medication and dealing with any degraded records, eg recalls, records without Read codes etc, see Review the notes in Consultation Manager.
